Nerdy, nerdy workflows.&lt;/p&gt;

&lt;p&gt;I can tell you a few things that almost always work, I can tell you a handful of things that almost never work, and—best or worst of all—I can tell you thousands of things that &lt;em&gt;might&lt;/em&gt; work. Sometimes. Maybe. Kinda. For some people. For now.&lt;/p&gt;

&lt;p&gt;And, at the risk of gay-marrying my arrogance to my hypocrisy, I can tell you that I also know enough about the unholy diarrhea of potential options for Theoretical Productivity to share two big patterns:&lt;/p&gt;

&lt;ol&gt;
&lt;li&gt;Getting your workflow right &lt;em&gt;matters&lt;/em&gt;.&lt;/li&gt;
&lt;li&gt;Getting your workflow right to the exclusion of the actual work is a fool&#039;s game.&lt;/li&gt;
&lt;/ol&gt;

&lt;p&gt;But. Managing to get the most useful and most elegant and least &lt;em&gt;fiddly&lt;/em&gt; mix of 1 and 2 right is super-hard. Especially for nerds. Especially for me.&lt;/p&gt;

&lt;p&gt;It is &lt;em&gt;reeeeeeeeally&lt;/em&gt; nerdy. Almost intolerably nerdy. Just…overwhelmingly nerdy.&lt;/p&gt;

&lt;p&gt;But, man, is it ever &lt;em&gt;really&lt;/em&gt; good, and really fat with the most insanely granular details of How I Work.&lt;/p&gt;

&lt;p&gt;Yes: I continue to despise empty advice about rearranging deck chairs on &lt;em&gt;The Titanic&lt;/em&gt;. But, yes: I do also still very much enjoy talking about how all the tips and tricks &lt;em&gt;can&lt;/em&gt; or &lt;em&gt;can&#039;t&lt;/em&gt; work in the context of &lt;a href=&quot;http://www.43folders.com/2010/02/05/first-care&quot; title=&quot;First, care. | 43 Folders&quot;&gt;work you care about&lt;/a&gt;. That &lt;em&gt;matters&lt;/em&gt;. It really does.&lt;/p&gt;

&lt;p&gt;So. Here goes. A one hundred and forty six minute-long, Joyce-ian amble through the Big Stuff and the Little Stuff. David and Katie were &lt;em&gt;very&lt;/em&gt; patient.&lt;/p&gt;

&lt;p&gt;How I name text files. Why I break iOS apps. Why I love the letter &quot;x.&quot; Why I won&#039;t row out to islands any more. How a 115,000 word book manuscript is &quot;like a house full of confederate money.&quot; How &quot;The Cloud&quot; broke in New Zealand.  How I use MultiMarkdown, Scrivener, TextExpander, OmniFocus, TextMate, Notational Velocity, Dropbox, and an explosive combination of Elements, Notesy, Nebulous, Simplenote, CF Outliner, iThoughts, Instacast, Good Reader, and wow wow &lt;em&gt;wow&lt;/em&gt;.&lt;/p&gt;

&lt;p&gt;How I try not to fiddle—how I sometimes succeed and often don&#039;t. But, how I &lt;em&gt;try&lt;/em&gt;.&lt;/p&gt;

&lt;p&gt;Anyhow. There you go.  <title>Catching Up: 3 Interviews from a Cooling Crucible</title>

 <description>&lt;p&gt;After almost a year of hand-wringing, fretting, and occasionally even writing the odd string of English words, I&#039;ve finally started turning into the home stretch with the first draft of &lt;a href=&quot;http://inboxzero.com&quot;&gt;my &lt;em&gt;Inbox Zero&lt;/em&gt; book&lt;/a&gt;.&lt;/p&gt;

&lt;p&gt;If it hasn&#039;t been obvious, or you couldn&#039;t just guess, this book project&#039;s been a big rock for me. Given the effort it&#039;s taken (read: most every hour I&#039;m not sleeping, working, or pushing my  daughter in a swing), it&#039;s also the primary reason why updates to 43 Folders have been so scarce over the last few months. The spirit was willing, but the brain--insanely sick of thinking about these very topics--was weak.&lt;/p&gt;

&lt;p&gt;Yes, as it turns out, writing a book does require an extraordinary expenditure of both attention &lt;em&gt;and&lt;/em&gt; time. And, in my own case, I&#039;ll confess that this often meant working even more than &lt;a href=&quot;http://qpradio.org/post/75687764/14-second&quot;&gt;four hours a week&lt;/a&gt;. But, who knows? Maybe that&#039;s just a consequence of my slow typing and abject lack of lifetrepreneurship.&lt;/p&gt;

&lt;p&gt;Thing is, this has also been a fantastic and exhilarating time for me. Despite the pressure, the stress, and the alternating tickity-tock of both clock and keyboard, in the end, performing the architecture and masonry required to build such a large project demanded that I gather a lot of seemingly unrelated material, choose the most promising ingredients, and then heat it all up in a  deadline-fueled crucible. Sure, it&#039;s been mostly good pressure (who the hell complains about having a book deal?), but it&#039;s still been real pressure.&lt;/p&gt;

&lt;p&gt;Fortunately, with much relief and abundant gratitude, I can say that I&#039;m really satisfied with the emerging artifact. And, of course, I really hope you guys feel the same way when the book comes out. Probably some time in the fall of 2049.&lt;/p&gt;

&lt;h2&gt;Coming Up for Air&lt;/h2&gt;

&lt;p&gt;I especially like when Jeff discusses how he uses his shuttle commute time; by knowing that he can rely on firewalled time to bookend each work day, Jeff can confidently lob tasks out of the moment and into that quiet and reliable commute session. &lt;h3&gt;Merlin&#039;s comments&lt;/h3&gt;

&lt;p&gt;If you bend David Allen&#039;s ear for more than 30 seconds about GTD, you&#039;ll hear some variation of a phrase that I heard  &lt;em&gt;a lot&lt;/em&gt; over the couple days we hung out in Ojai: &quot;&lt;em&gt;It&#039;s all in the book!&lt;/em&gt;&quot;&lt;/p&gt;

&lt;p&gt;Say what you will about The David, but he is not a man who suffers from &lt;em&gt;The George Lucas Complex&lt;/em&gt;. Much to the consternation of his publishers,  his fans, and -- one suspects -- even some of his colleagues, David feels like he has already written  &lt;a href=&quot;http://gtdbook.43folders.com/&quot;&gt;the complete and definitive work on the Getting Things Done system&lt;/a&gt;. And  he very clearly has no desire to futz with that basic system without a good reason; it&#039;s sound and complete, as is, and there you go. Next subject.&lt;/p&gt;

&lt;p&gt;And, I have to say, in a lot of ways, I&#039;ve come to really admire this.&lt;/p&gt;

&lt;p&gt;For one thing, it was immediately clear to me that, although David heads up a smart and growing company that enjoys a ravenous fanbase, his interest in the strictly pecuniary aspects of his work sometimes seems hilariously modest.  While he long ago could have flipped DavidCo into a Shake-and-Bake franchise of ghost-written paperbacks (an idea I apparently once thought was a &lt;a href=&quot;http://www.43folders.com/2004/12/31/a-year-of-getting-things-done-part-3-the-future-of-gtd/&quot;&gt;pretty great idea&lt;/a&gt; myself), David and his staff usually have more interesting things in mind. And while I can&#039;t say that I think every idea is a guaranteed winner from my own perspective, I really respect the fact that DavidCo seems unwilling to sacrifice the quality of their product and their message for a fast buck. Not something you see every day.&lt;/p&gt;

&lt;p&gt;I&#039;ll admit that there&#039;s still a part of me that thinks both David, the fans, and &lt;em&gt;the system itself&lt;/em&gt; could  benefit greatly from more examples of and  options for sane GTD implementation and maintenance (and how to narrow the options to &lt;em&gt;what&#039;s best for my particular hang-up&lt;/em&gt;). Funny thing, though: in talking to David, it became clear to me that, on some level, that dearth of &quot;official&quot; material  on implementation options was an undeniable factor in the early success of 43 Folders. So, in retrospect, I probably shouldn&#039;t complain too much.&lt;/p&gt;

&lt;p&gt;In many ways, though, David&#039;s right; it &lt;em&gt;is&lt;/em&gt; all in the book, even if you aren&#039;t yet at a place to understand how it potentially fits together in your world. So, in this episode, I really like how he highlights the way repeated readings and exposures to GTD inevitably lead to &quot;getting&quot; some part of the system that used to seem corny, pointless, or hand-wavey (God knows that&#039;s been true for me). So, I guess I do see part of the challenge from David&#039;s point of view; how do you get somebody quickly ramped-up into a system that may not reveal its best stuff to you for two or more years? Definitely tricky business.&lt;/p&gt;

&lt;p&gt;But for those of you out there already doing GTD and feeling like you sometimes miss the &quot;there,&quot; I think this particular ep provides some very sound insight into how these pieces down on &quot;the runway&quot; are inextricably and necessarily tied to &quot;the higher altitudes.&quot;&lt;/p&gt;

&lt;p&gt;Email was one of the topics that I was most interested in talking to David about, and I found his responses to my questions thought-provoking.&lt;/p&gt;

&lt;p&gt;David makes the case that email is basically just another input -- like voice mail, for example -- that needs to be emptied and processed every day. That it&#039;s not substantially different (apart from how badly mostly people do it right now).&lt;/p&gt;

&lt;p&gt;While I absolutely agree on &lt;a href=&quot;http://www.inboxzero.com/&quot;&gt;processing to zero&lt;/a&gt;, I think opinions may differ on the significance of email&#039;s impact on the life of the average knowledge worker.&lt;/p&gt;

&lt;p&gt;I think David&#039;s approach and advice are tactically quite sound in terms of fixing your own half-acre of the problem,  but I&#039;m still ambivalent about a prevailing culture of email in which the implied expectation is that &lt;em&gt;we always need to be &lt;strong&gt;on&lt;/strong&gt;_, for example, responding to business-day messages within minutes of their arrival. My friends working down in the Valley (you know who you are) tell me this is the elephant in the room in terms of trying to get _anything&lt;/em&gt; accomplished between 8 and 6.&lt;/p&gt;

&lt;p&gt;While email has matured in terms of adoption, I think we&#039;re still in the very early days of understanding how to use it responsibly across teams and organizations -- we&#039;re still a long way from seeing a standard for sound email usage that acknowledges that most &quot;real work&quot; can and &lt;em&gt;should&lt;/em&gt; take place outside of an inbox. I really look forward to seeing how we can each help to initiate these conversations in our own circles.&lt;/p&gt;

&lt;p&gt;In the mean time, you&#039;ll love hearing David&#039;s advice on &lt;a href=&quot;http://gtdbook.43folders.com&quot;&gt;&lt;em&gt;Getting Things Done&lt;/em&gt;&lt;/a&gt; in email. He has a way of cutting to the point that I find really refreshing.
