I haven't seen any mentions of MyLifeOrganized (MLO) for implementing GTD, so I thought I'd drop a post on ya. I futzed with a ton of software and paper implementations until settling on MLO. It's a VERY lightweight app. Works off a USB drive or full install and has lots of hot keys to add new projects, tasks, sub-tasks and has a wicked cool rapid entry dialog box that you can quickly dash off new thoughts into your digital GTD inbox. The niftiest feature is the "ToDo" list. I know, that's a dirty phrase in GTD land, but give 'em a break. You create your master outline holding your contexts, projects, tasks, sub-tasks and what not. Then you can define how long each item might take to do and you switch over to the ToDo list to see what you can do for your appropriate context. Have only 10 minutes? Filter down to see what can be done in 10 minutes. Download the free version and mess around. It has most of the features of the standard and pro editions. I have the pro version. I don't use it as often as I should though. I was trying to get the Outlook sync to work properly, but I wasn't able to. I was getting duplicate tasks and such. »

I just destroyed my data file today trying out Outlook sync. Worst part is I did not set up backup. Bad techie!! Other than this mishap, I still like the app a lot. »

I'm a definite fan of MLO. The way I use it, it incorporates the project list, tickler file, and NA lists all in one application. And as for the To Do list, it's what you write on it that makes it a To Do list or an NA list. The terminology (like contexts vs places) is irrelevant. »

I've been using MLO for about a year now, which is the longest I have ever stuck with a single software title for GTD. Its not going to be everything to everybody (duh!), but it does quite a job of being good at what it does. Advantages that keep me coming back:
There are a few issues that still need to be resolved, and most have been put on the table and are at minimum under consideration by the developer. To be fair in this review, here's some:
Now, I'm sure there are more pros and cons I'm forgetting about, but lets face it, this little mini-review is just a reason for me not to start working yet. However, I will add this: I use the Outlook sync to overcome a few of the limitations above. The Outlook sync is very powerful, but takes some getting used to and testing. Its highly recommended to try it out on backup copies of data in both programs. What *I* do is keep my MLO tasks in Sync with Outlook, and then setup Outlook views that display the user-defined fields that MLO adds (like MLOProject). I can get group/sort on these, and they are displayed in a multi-column format. I also use Outlook's priority indicator to select my 'goal' tasks for the day (I don't sync MLO priority to them). If you haven't tried it, I'd take a look. Its not for everyone, but it does have a good set of features, is quick to use, and has a bright future. The Google Group is active and very helpful, and there is a Wiki with some other suggestions. Daniel »

I reopened the program for the first time in months and played with some settings, did some syncing back and forth, and I think I finally have a good equilibrium between MLO and Outlook to the point where I can use it as an integrated tool in "my system". Any Linux users know how well it works under Wine? I'm giving some serious thought to migrating to Linux. I'll probably just set up a dual boot, but if I can get my favorite tools to run, I might not need Windows for very much. »

Excellent summary two.olives! I'm going over to a Mac for my home use pretty soon and will likely keep my XP machine to run a few games and MLO. I thought about tossing XP altogether, but so far MLO is reason enough to keep it. For running under Linux, I have not tried it but with the app being so simple I have to think it would work under WINE. Worse comes to worse, find a way to get VMWare on the cheap and run it under there. That would definitely work. »

My friend talked me into loading VMWare Server beta onto XP and run Linux under that for now. At least that way I can still use Windows for what I need it for, but Linux is there to learn on and begin to switch over to at my leisure. »

The new VMWare Server is *FREE* and works like a dream. It only allows for a few VMs, but for most people this is more than sufficient. In our lab environment, I think we're loading 8 VMs on a 4cpu Xeon, and all of them are performing well. It didn't make any sense to buy VMWare Server ESX when we just needed around 8-10 hosts at a time active per machine. Its free. Try it, you'll like it. »

Thanks for posting those. That gives me a little bit better of an idea how to use the program. I imported all my Outlook tasks and started sorting them, yet in the end I realize what I did was convoluted. I have to work on my higher level outline. I have Someday-Maybe tasks scattered throughout right now. »
