Entourage & GTD

Does anybody here use Entourage with their GTD setup? We use Entourage at the office, and I don't think I could get away with switching to Apple's Mail.app and kGTD or something... but we don't really use the Tasks or shared Calendar features. I don't think Merlin ever got around to posting his "custom views" article that he said he was going to do in this post. (Maybe he switched to iCal + Mail + kGTD before he could.)

Some tips

Hi, I use Entourage for a GTD-type setup. Here are some tips from my setup:

Entourage is very stable and reliable, especially when compared to the Apple apps. The Project Center lends itself well to the GTD methodology, but is a bit slow. Creating new projects is a painful enough process that I find myself not creating projects for smaller items that I probably would track as such using kGTD or Lifebalance (both of which I've tried to use for GTD).

While I can work around the limitations of the Project Center, the big challenge for me is keeping track of next actions. I really wish that Entourage had subtasks or some mechanism for registering task dependency!

I just set up a...

I just set up a project in the Project Center. It is a bit clunky and not so efficient. I wish there were keyboard shortcuts for making new Tasks!

I may end up creating categories for my projects, combining that with keeping the habit of assinging categories to all my outgoing and incoming messages as well as keeping job numbers in the subject lines, and managing everything that way.

One Week Later...

So now I've set up six projects in the Project Center. Unfortunately, the Project Center still leaves a lot to be desired. I wish it didn't rely so much on a wizard, and the lack of keyboard shortcuts is a hindrance.

However, I beefed up all my categories, assigning a category for each client. From there, I make projects, and keep the project's color code the same as that client/category.

Overall, it's not very elegant, but the only really elegant thing is this: I got rid of all the folders for each project, instead assigning a category (and in some cases a project) to each email, and put those all in one folder labelled "Processed." Viola, I can view everything by category, and that one folder is searchable.

This way, if I need to go back and find a project I can search in just a couple of folders, thereby minimizing the number of places a message might be.

iGTD, Kinkless, Quicksilver with Entourage

I’m loving using Entourage for my GTD. I had been using iCal and Mail.app but like the seamlessness and Project Center of Entourage. One thing that all this lacked was the ability to quickly add tasks to a list like Kinkless or iGTD (which is great). I found this applescript that allows you to drop your tasks into Entourage via Quicksilver much like iGTD and Kinkless do. Meaning, through a series of symbols you indicate the Name of the task, any notes, the category, project and due date all through the text field in Quicksilver.

So typing Vacuum Floor | It’s real dirty @ Home > Housecleaning # 1/31/06 - friday, becomes the task “Vacuum Floor” with the note of “It’s real dirty” that gets assigned to the “Home” context (or category) and assigned to the “Housecleaning” project due on 1/31/06.

This is great! Once you unpack the script you drop it into your actions folder for Quicksilver. To activate just hit launch Quicksilver, type a period, type your task, tab and then start typing “send to Entourage” until it appears. Try it.
